Glean is an enterprise search tool that allows users to search across multiple applications from a single interface.
The records/documents can be searched within Glean by using the best practices below:
1. Searching * in the search bar provides all the results from the Glean instances the user has access to. The results will be provided based on the connector.
2. To search any document specific to a datasource then simply type "app:datasource_name" in the search bar, for example, "app:jira" or "app:salesforce".
It will provide the documents only from Jira in this case. Glean offers various options to filter the results based on the datasources. Along with it, there are different filters based on the connectors to make the search more granular. For example, in the Jira datasource, there are options such as - Last Updated, From, Type, etc.
3. Users can use search keywords with filter combinations to get the results more precise by leveraging the "Advanced Filters" options. Refer to the below screenshots.
The advanced search window can be viewed by clicking on the (i) button.
Troubleshooting Steps:
1. If the datasource visibility is set to the "test group", then only those users can view and access the docs within Glean.
2. Admins can verify users' access over the document by navigating workspace -> manage search -> verify access.
3. Make sure the user is a part of the group added in the datasource config/setup page to access the document within Glean or has permissions over the source.
